Bilingual Customer & Office Services Specialist

JOB SUMMARY:

This full-time position is part of a team which provides customer service assistance to English- and Spanish-speaking customers.  It also supoorts corporate operations with its interpretation and translation needs, mail services, copy center operations, supply ordering, document scanning, and other support work for the organization and programs.

Job Duties include:

  • Handles all English-Spanish interpretation needs with callers, voicemails, and face-to-face conversations.
  • Translates program and company documents from English to Spanish as needed.
  • Greets and registers clients for appointments and contacts internal staff of their arrival.
  • Collects and routes all paperwork that is dropped off at the Reception Desk.
  • Accepts rental payments and provides receipts.
  • Handles stipulation and weatherization requests.
  • Answers telephone calls and responds to inquiries concerning services and operations.
  • Enters client data into computerized data base.
  • Orders all office supplies and ensures reasonable levels of inventory are maintained.
  • Receives and processes incoming mail, internal mail, and outgoing mail.
  • Operates and maintains photo copiers and provides large volume photo copy services to the organization as needed.
  • Conducts annual client background checks for Housing Choice Voucher Program (HCVP).
  • Performs scanning duties.
  • Completes Annual Verification requests.
  • Assists with clerical duties and special projects as requested by Manager.
  • Participates in team meetings.
  • Maintains condition of the lobby and stocks all resources for walk-in customers.

Qualifications:

  • Bilingual English/Spanish (fluent in speaking, reading and writing).
  • Minimum of a high school diploma or GED.  Prefer Associate Degree in Administrative Professional Program and/or Customer Service Certification.
  • Wisconsin State Notary desired or eligible to apply for a WI Notary Public Commission.
  • Working knowledge of Microsoft Office - Word, Excel, Outlook, and the ability to learn other software as needed.
  • 1-2 years of experience in a front-end Customer Services/Receptionist role preferred.
  • Experience working with diverse populations helpful.
